What we collect, why, and what we never do with it.

1. Who we are

Prime Air Heating & Cooling LLC (“Prime Air”, “we”) designs and installs heat pumps and ductless mini-splits in the Merrimack Valley, Massachusetts, and southern New Hampshire. You can reach us at (781) 281-8608.

2. Information you give us

Most of what we hold comes directly from you.

• Through the forms on this site: your name, phone number, email address, town and state, and anything you choose to tell us about the house, such as how it is heated, roughly when it was built, whether it has ductwork, and what you are hoping to fix.
• When you call, text or email us: your contact details and whatever you tell us in the conversation.
• During the assessment and installation: the property address, room measurements, notes and photographs of existing equipment, the electrical panel and proposed equipment locations, which we use to prepare the quote and plan the work.
• For rebates and financing, if you ask us to help: your utility account numbers and, for income-based programs, the income documentation those programs require.

We do not ask for payment card numbers, bank details or Social Security numbers through this website.

3. Information collected automatically

• Server logs. Like most websites, the service that hosts this site records basic technical information when pages are requested, such as your IP address, browser type and the time of the request.
• Fonts. Pages load their typeface from Google Fonts, so your browser sends your IP address to Google when it downloads the font files.
• Google reviews. When our reviews section is switched on, it is provided by Elfsight, which loads reviews from our Google Business Profile. Elfsight and Google may collect technical information and set cookies under their own privacy policies.
• Analytics and advertising. We do not currently use analytics or advertising trackers on this site.

This site does not set cookies of its own. The third-party services named above may set theirs.

4. How we use it

We use your information to:

• reply to you and arrange the assessment;
• calculate heat loss, prepare the quote and plan the installation;
• do the work, including permits and inspections;
• apply for rebates, financing and warranty registration when you ask us to;
• follow up after installation and provide service; and
• keep the business and tax records the law requires.

We do not use your information to make automated decisions about you.

5. Who we share it with

We share only what is needed for the job you asked us to do:

• Rebate and loan programs: Mass Save and its sponsoring utilities, NHSaves, municipal light plants and HEAT Loan lenders, when you ask us to help with an application.
• Your town: building and wiring departments receive the property address and a description of the work when we file permits.
• Equipment manufacturers: for warranty registration.
• Service providers who work for us: requests sent through the forms on this site are delivered to our inbox by FormSubmit (formsubmit.co). Others include email, phone and text messaging, website hosting and accounting. They may use your information only to provide their service to us.
• When the law requires it: to comply with a legal obligation, or to protect the rights and safety of our customers, our crew or the public.

We do not sell or rent your personal information, and we do not share it with anyone for their own marketing.

6. Text messages

If you ask us to text you, we will text only about your request, your appointment or your job. Message and data rates may apply. Reply STOP at any time to stop texts, or HELP for help. We do not send marketing texts without your separate consent, and we do not share mobile numbers or text-messaging consent with third parties for their marketing.

7. How long we keep it

We keep records of installed systems for as long as they are useful for warranty and service, and business and tax records for as long as the law requires.

8. How we protect it

We use reasonable administrative, technical and physical safeguards to protect personal information, and we limit access to the people who need it to do their work. Massachusetts regulations (201 CMR 17.00) set standards for protecting the personal information of Massachusetts residents.

No method of sending or storing information is completely secure. If a breach affecting your information occurs, we will notify you and the authorities as the law requires.

9. Your choices

• See, correct or delete. Ask for a copy of the information we hold about you, ask us to correct it, or ask us to delete it. We may need to keep some records, such as invoices and permit files, where the law requires.
• Stop messages. Reply STOP to any text, or tell us by phone or email, and we will stop.
• How to ask. Call (781) 281-8608. We may need to confirm your identity before acting on a request.

10. Children

This site is not directed to children under 13, and we do not knowingly collect information from them.

11. Links to other sites

This site links to other websites, including Mass Save, NHSaves and Google. Their own privacy policies apply when you visit them.

12. Changes to this policy

If we change this policy, we will post the new version here and update the date at the top of the page.
